How a mailing is dropped

Working from the written program strategy and the instructions developed in the file preparation phase, a SeniorFirst Class Mail Production Manager creates a detailed Mail Specification sheet. This document shows the lettershop

  • quantity, by lot, for all lots
  • inventory numbers for all components to be used
  • postal requirements for each lot (stamp/meter/indicia)
  • fold and trim sample for all lasered components
  • insertion sequence sample – for all package configurations in job
  • sample requirements – quantity by lot, recipients, etc.
  • any special instructions that may apply (drop ship/send to client, etc.)

After receiving the Mail Specifications instructions from our Production Manager, the supplier faxes a ‘live’ insertion sample for each mailing lot, which is reviewed and must be approved by the Production Manager prior to the job being started. This is the final signoff prior to materials being inserted into envelopes.

Upon completion of a mail drop, postal papers (3602’s/3600’s) are faxed to the Production Manager the next business day.
